Instructions for the supervisor-in-charge

Read the instructions of the supervisor-in-charge appointed for doctoral studies at the Sibelius Academy

Study guidance

At the beginning of your studies, the doctoral school will assign you a supervisor-in-charge (OVO). The supervisor-in-charge is a Sibelius Academy professor or teacher who has completed a doctoral degree.

You must make a written commitment to supervision of doctoral studies with the supervisor (see link), which defines the tasks of supervisors, pre-examiners and students, among other things.

Duties of the supervisor-in-charge

  • At the beginning of the term, contact the student for the first meeting and provide advice on how to get started with studies and planning supporting studies.
  • Make sure that the contents of the supporting studies correspond to the regulations applicable to the degree and that they are appropriate.
  • Meet with the student at least once a term.
  • Monitor and supervise the progress of the student’s studies in Peppi and advise on the content and organisation of the studies. Make sure that the completed courses are recorded in Peppi as soon as possible after their completion.
  • Draw up a commitment to supervision together with the student. The commitment to supervision may be supplemented or amended by mutual agreement at a later date. This is done by filling out a form (see link on the right).
  • Decide on supporting studies acceptable for the degree and report them to the doctoral education support team for entry in the record of credits.
  • If necessary, discuss additional supervision with the student and assist the student with getting it.
  • If necessary, guide the student in completing personal completed courses (e.g. conferences, publications or event production).
  • Make sure that the student submits their thesis for review before the final artistic component due date (Arts Study Programme).
  • Together with the student, ensure that the supporting studies meet the degree requirements and are appropriately recorded in Peppi before applying for permission for a public examination/defence.
  • Before the preliminary examination, make sure that the last version of the written thesis is used in the Turnitin plagiarism detector by submitting it to the Tutti team.
  • Notify the director of the doctoral school and the Tutti team upon completion of studies and written theses.
  • Together with a specialist, prepare a proposal for the appointment of preliminary examiners and examiners for the public examination/defence after discussing the matter with other supervisors and the director of the doctoral school.
  • Check the programme of the examination session and the material for communications prepared by the student.
