Publishing a Written Thesis
Read the final stage guidelines on how to publish your written thesis.
Written theses for doctoral degrees are published in the University of the Arts Helsinki’s Taju publication archive and are publicly accessible. Additionally, the University’s Research Catalogue portal may be used. A doctoral thesis may be a dissertation (artistic education), a doctoral dissertation (research training), or the written part of a thesis package (applied training).
The written component of an art and skills demonstration, doctoral dissertation, or development project can be published both electronically and in print. Preparing the publication requires collaboration between the cover designer, layout designer (either by the graduate themselves or someone they hire), the doctoral schools’ representative, the author, and the printing house. Ensure smooth communication between these parties by acting in good time.

Writing

Printing
- Create a written publishing agreement and ensure you have publication permissions for the articles included in the thesis. The publishing agreement grants Sibelius Academy the rights to publish the work. If publishing electronically only, you will also need archive-ready copies for the Academic Council’s review and legal archiving.
- Order publication numbers from the library (Jalo Oinonen, jalo.oinonen@uniarts.fi).
- Order the cover of your publication via a separate form. You will need preliminary information about the length of your work to determine the thickness of the spine.
- Send the formatted version of your thesis as a PDF to Henri Wegelius (@uniarts.fi). He will review the layout and send the book to print. Be especially careful to check the publication details on the title page.
- Review the electronic proof received from the printer and give the printing approval. If you would like paper proofs of the cover or content, you will be responsible for their costs. The order from the printing house is for 50 copies. If a larger number is needed, you must discuss it separately with the deputy dean responsible for research.
Publication and Deposition
- Ensure the public deposition of your written work. Submit your written thesis (PDF, links) to the University of the Arts Helsinki library at least 20 days before the doctoral examination or defence. You will receive the electronic PDF with the cover from the printer.
- Fill out the summary form for the library (link).
- The library ensures that the electronically published written component is publicly available in the Sibelius Academy’s Taju database at least 10 days before the doctoral examination (the so-called deposition). If the thesis is published on another platform, confirm with the library which file format is required for archiving.
Distribution
The completed book will be distributed as follows:
- You will receive 10 copies to distribute as you see fit.
- Deliver one copy to each of the following (depending on the type of doctoral degree): opponent(s), examiner(s) of the thesis/doctoral work, members of the artistic committee, supervision team members, and the supervisor (custos) of the examination.
- The Tutti team will deliver 3 copies to the University library for deposition at least 10 days before the examination.
- The book will be available for sale on Ostinato and Unigrafia’s online store. Its price will be determined based on printing costs. The price is set by DocMus and MuTri.
- The caretakers will handle the sale of the remaining printed copies to the public during the examination.
Publication Series and Identifiers
The permission of the board to hold the public examination for the doctoral degree is also the publication permission for the artistic doctoral thesis in the EST publication series [ISSN 1237-4229 (printed), ISSN 2489-7981 (pdf)] or the doctoral dissertation publication permission in the Studia Musica series [ISSN 0788-3757 (printed), ISSN 2489-8155 (pdf)]. The series publication will have 3-5 identifiers:
- ISBN (on the back cover and publication details page). ISBN identifies the individual publication and its format (e.g., print or electronic).
- ISSN (on the back cover and publication details page). ISSN numbers indicate the series and publication format, so all publications in the same series will share the same ISSN numbers for the printed and pdf formats separately.
- Series order number (indicates which publication it is within a specific series). It will be listed on the cover, spine, title page, and publication details page.
Suggested Timelines
- The order form for the cover must be completed no later than 1.5 months before the deposition date.
- Printed publications must be delivered to the printer at least 3 weeks before the deposition date.
- The thesis must be published, i.e., deposited, no later than 10 days before the doctoral examination in the Taju repository.
