Peppi instructions: eAHOT
How to apply for credit transfer in the eAHOT service in Peppi (AHOT = Credit transfer, i.e. recognition of prior learning)
At the University of the Arts Helsinki, you can have previously acquired competence credited towards your degree. The starting point is that you do not need to study again things that you demonstrably already know. Credit transfer always takes place on your own initiative. Read more about credit transfer.
How to apply for credit transfer in the eAHOT service
In the application, you describe what kind of prior competence you have and how you wish to have it credited as part of your current degree. You must always also attach sufficient certificates of the previously acquired competence to the application. The certificates can be in English, Finnish or Swedish.
In Peppi’s eAHOT service, you can apply for credit transfer for the course units of the University of Arts common studies (language and communication studies and the course unit Art, Work and Sustainability). For other studies, you currently apply for credit transfer with a Webropol form. In the future, all credit transfers will take place in the eAHOT service.
Detailed instructions
The names in quotation marks are the names of buttons, menus and fields as they appear in the English-language interface of the eAHOT service.
Step 1: Log in to Peppi
Log in to Peppi with your student credentials. You will arrive at the ”Student’s desktop”. Go to the eAHOT page by selecting ”eAHOT credit transfer” from the menu at the top of the page.
Step 2: Start a new application
You will arrive at the front page of the eAHOT service (”Credit transfer (eAHOT)”). On the ”Applications” tab of the front page, you can submit new applications and see the current status of the applications you have submitted. Start a new application by selecting the ”New application” button at the top right of the list of applications.
Step 3: Check your basic information
The ”New application” window opens on the screen. The system automatically fills in your basic information (e.g. name, student number, email and degree programme).
If you have had a guidance discussion, you can, if you wish, enter the date of the discussion and the person you had it with in the ”Guidance discussion” section of the window, and a summary of what you agreed on in the meeting in the ”Additional information” field. If you have not had a guidance discussion, you can skip this part.
Check the information and select ”Save draft and start filling in the application” at the bottom of the window.
Step 4: Get to know the structure of the application
You will see your application, which is divided into three sections (from top to bottom):
- ”Basic information”: information about your degree, filled in automatically.
- ”Places of performance”: here you add the places where you have previously completed studies or acquired competence.
- ”Studies or competences”: here you add which studies or competence you wish to use for credit transfer and which courses you wish to have credited.
In addition, at the top right of the page there is the ”Send application” button, with which you can finally send the application to the person processing it. The application remains in draft status until you send it.
Step 5: Add a place of performance
Start by adding the details of the place of performance by selecting the ”Add place of performance” button in the ”Places of performance” section. The ”Add place of performance” window opens, where you can
- Select the type of the place of performance (educational institution, work experience or other) and select the place of performance from the menu. If your place of performance is not found in the menu, tick the box ”Place of performance not found in the menu” and fill in the details yourself.
- State in the ”Name of education” fields what your degree programme or job title was.
- If necessary, describe the place of performance in more detail (the ”Description” field) and the competence you acquired in relation to the learning objectives (the ”Description of my competence in relation to the learning objectives” field)
- Add an attachment in the ”Attachments” section that certifies the previously completed studies or acquired competence.
Finally, save the details with the ”Save” button at the bottom of the window.
Step 6: Add the competence to be recognised
Next, add the details of the competence to be recognised by selecting either ”Study completed elsewhere” or ”Add other previously acquired competence” in the ”Studies or competences” section.
A view opens where you state:
- at the top of the view: whether you are applying for substitution or inclusion (the ”Type of credit transfer applied for” menu) and who will process your application (the ”Select processor” menu)
- on the left side of the view (”Previously completed studies”): which of your previous studies or competences you wish to use for the credit transfer
- on the right side of the view: which courses you wish to substitute, or where in your degree you wish to include your competence.
If you are applying for substitution, the right side of the view shows a list of the course units in your PSP (”Select from the studies in the PSP”). Select from the list the course unit you wish to substitute and move it with the move button next to it to the adjacent ”Studies selected for the application” column. You can see the learning objectives of a course unit by clicking its name.
If you are applying for inclusion, the right side of the view shows the section ”Place the studies/competences to be included in the PSP structure”. There, select from the drop-down menu where in your personal study plan (PSP) you wish to place the competence to be credited. With the ”PSP preview” button, you can see what the placement looks like. Always remember to first discuss with your PSP-tutor (HOPS-ohjaaja in Finnish) if you wish to include studies in your degree.
Step 7: Fill in the details of your previous studies
Fill in the details of your previous studies or competence (the ”Add study” or ”Add module” buttons on the left side). The form that opens includes e.g. the name of the study, its scope, language of instruction, grade, place of performance, date of completion and justifications. As the place of performance, the system offers the details you added earlier in step 5.
Please note that the system asks you to give both a Finnish and an English name for your prior competence. This is because your degree certificate will be in both Finnish and English. If an alternative name does not exist, copy the same name into both fields. Save the details with the ”Add” button at the bottom of the form, and finally save the whole view with the ”Save” button.
Step 8: Send the application
Your application is now ready to be sent. Check the details and send the application with the ”Send application” button at the top right of the page. You can see the status of your application on the ”Applications” tab of the eAHOT page.
